Flea Market Details and Terms for ARCON24 and HFI24

Event Information

Welcome to the Flea Market at ARCON24 and Hamfest India 2024 (HFI24), the Second National Amateur Radio Convention and the premier Hamfest event. Join us in Kolkata, West Bengal, India, on December 14th and 15th, 2024, for a dynamic marketplace showcasing the best in amateur radio and related technologies.

Opportunities for Sellers

Make in India Product Sellers

• Special Offer: Display and sell your products at the flea market free of charge.
• Eligibility: Open to individuals or companies offering products that align with the Make in India initiative.
• Benefit: Double the exposure, as your products will be showcased to the combined audience of ARCON24 and HFI24 attendees.

Commercial Sellers

• Stall Fee: Book a stall for just ₹10,000 (starts from).
• Inclusions:
  • A designated stall space to showcase and sell your products.
  • Registration for one person, including complimentary meals during the event.

Stall Details

• Size: Each stall measures 4x4 ft.
• Decoration: Sellers are responsible for any additional decorations to personalize their stalls.
• Setup Time: Saturday, December 14th, from 9 am to 10 am.
• Operating Hours: Open to the public on Saturday from 10 am to 4 pm and on Sunday from 10 am to 2 pm.

Additional Promotion Opportunities

• Product Promotion: Sellers can send product information via email for promotion. OSCAR INDIA will share these details with all participants of both events.
• Advertisement in RAW Magazine: Flea market sellers can book an advertisement in Radio Amateurs' World (RAW) Magazine for an additional fee of ₹5,000.

Important Dates

• Booking Deadline: September 30th, 2024. Bookings are subject to availability and will be confirmed on a first-come, first-served basis.

• How to Book: Contact us at oscar.aismit@gmail.com to secure your stall and send proof of your product's alignment with the Make in India initiative if applicable.
• Confirmation: Delegates must present the confirmation email for their flea market table.

Terms and Conditions

General

1. Compliance with Laws: All sellers must comply with local laws and regulations, including obtaining necessary permits and licenses for selling goods.
2. Indemnification: Sellers agree to indemnify and hold harmless the event organizers, OSCAR INDIA, from any claims arising from their participation in the flea market.
3. Insurance: Sellers are encouraged to carry their own liability insurance to cover any potential incidents or damages.

Stall Management

1. Stall Assignment: Stall locations will be assigned by the organizers. Requests for specific locations may be considered but cannot be guaranteed.
2. Stall Sharing: Sharing of stalls is not permitted unless approved in advance by the organizers.
3. Security: While general security will be provided, sellers are responsible for securing their own merchandise during the event.

Setup and Teardown

1. Setup Time: Sellers must complete their stall setup by the designated time. Late arrivals may forfeit their space without refund.
2. Teardown: All stalls must be dismantled and cleared by the end of the event. Any items left behind will be disposed of by the organizers.

Conduct and Etiquette

1. Professional Behavior: Sellers are expected to conduct themselves professionally and courteously towards attendees and fellow vendors.
2. Noise Levels: Any audio or visual displays should be kept at a reasonable volume to avoid disturbing neighboring stalls.
3. Cleanliness: Sellers are responsible for keeping their stall area clean and disposing of any waste properly.

Payment and Fees

1. Payment Terms: Full payment for stalls and any additional services must be received by the booking deadline. No bookings will be confirmed without payment.
2. Refunds: Stall fees are non-refundable unless the event is canceled by the organizers.

Promotion and Marketing

1. Use of Logo: Sellers may use the event logo in their marketing materials only with prior written approval from the organizers.
2. Promotional Materials: Distribution of flyers or promotional materials outside of the assigned stall area is not allowed without prior permission.

Health and Safety

1. Emergency Procedures: Sellers must familiarize themselves with emergency procedures and comply with any instructions given by event staff in the event of an emergency.
2. Fire Safety: Sellers must ensure that all materials used in their stalls comply with fire safety regulations.

Intellectual Property

1. Copyright: Sellers must ensure that all products sold or displayed do not infringe on the intellectual property rights of others.

Amendments

1. Changes to Terms: The organizers reserve the right to modify these terms and conditions at any time. Any changes will be communicated to all registered sellers.
